Position Summary Information

Job Summary

The Events Team Leader, under general supervision, oversees the set-up and other preparations for meetings and conferences at an event facility.

Required Education and Experience

High school diploma or any equivalent combination of education and experience may be considered.Three years’ experience in meeting and conference set-up and related customer service. Some supervisory experience.

Preferred Education and Experience

College courses in management. Three or more years in related work.

Required Licenses, Certifications, or Registrations

Must have or be able to obtain State of Texas class “C” vehicle operator’s license within 30 days of employment.

Must be customer service oriented. Must be able and willing to work as part of a team and in a team environment.

Detailed Job Duties

Duties Performed

Previews daily event schedules to determine set-up requirements; checks rooms for correct set-up; coordinates delivery of required equipment such as computers, projectors and other A/V equipment; checks periodically with customers to ensure need have been met; unloads/loads vendor goods and equipment and transfers to appropriate locations; hangs banners and prepares external/remote event sites. The UC Events Team Leader may function as the facility supervisor for events in the evenings and on weekends. He/she executes appropriate risk-management procedures to include crowd control measures and coordinating with University Police, Environmental Health and Safety and other officials to insure compliance with TAMU and TAMUS regulations and policies. The UC Events Team Leader leads evacuation and emergency response in conjunction with senior administrators during the evening and serves as building marshal when on duty during evening hours and on weekends.

Duties Performed

Events Team Leader supervises assigned staff of UC Event Workers and student workers. Monitors buildings and other facilites for maintenance and other issues.

This position is responsible for meeting customer service needs for the Memorial Student Center (MSC), Koldus Student Services Building, Rudder Tower, All Faiths Chapel and Rudder Plaza ensuring rooms are open and available, room is set-up appropriately and all requested equipment is present and in working condition, audio-visual equipment and catering is delivered as requested, and other requirements are met to insure successful meetings, conferences and events. The UC Events Team Leader works closely with MSC Information Desk workers and the MSC Loading Dock personnel in the evenings and on weekends. This individual is also responsible for training his or her full-time and student staff on professional customer service. This individual spends a significant amount of time during the work shift walking the building and interacting with customers at the site of their meetings and events, confirming arrangements and level of satisfaction.
