Position Summary Information

Job Summary

Coordinates activities for all classes and the Sul Ross Group. Serves as an advisor/trainer to respective Class Agents/officers. Works to engage Former Students through class communications and programming.

Major/Essential Duties of Job

Primary Contact for Class Agents and Class Activities.
• Informs Class Agents of key developments, fundraising statistics and pride factors through quarterly mailings.
• Provides orientation and training of Class Agent candidates and new Class Agents.
• Provides support, advice and motivation for all Class Agents in their effort to serve their classmates and The Association.
• Provides guidance to class gift committee and oversees payments of money housed internally.

Plans and Coordinates Class Reunions.
• Collaborates with Class Agents and Association Events team to plan all formal and informal reunions.
• Directs reservation and registration activities for reunions.
• Negotiate contracts with lodging and event venues.
• Coordinate rooming blocks.
• Provide guidance and information for class business meetings.
• Coordinate guest speakers and special guests for Reunions.
• Manage logistics of Reunions, including transportation, hospitality rooms, schedules and meals.
• Provide on-site logistical event support.
• Serve as ex-officio member of the Sul Ross Group Board.
• Works with Class Agents to facilitate elections and transition of class representation.

Manages Class Newsletter Process.
• Collaborates with Communications and Production to set and communicate newsletter schedule.
• Incorporates Association fundraising and strategic branding messages into newsletters.
• Communicates newsletter schedule to Class Agents.
• Arranges class printing and mailing process and approves final proofs.
• Communicates newsletter status to Class Agents.

Contributes to Former Student Program events and activities which may include:
• Communicating with former students regarding Club, Constituent Network, Young Alumni, or Travel Activities.
• Providing on-site support for other Former Student Programs events.
• Serve as a staff liaison to the Young Alumni Advisory Council

Occasional Duties

Participates and provides input on various Association-wide activities which may include:
• Providing on-site event support for Board and Leadership Council Meetings.
• Participation on internal event and task committees.
• Participation in Association events including, but not limited to, TNT, Ring Delivery, Reunions, Distinguished Alumni Gala and Game Day events, as needed.
• Represents The Association as needed at events.

Acts as an ambassador for The Association by meeting Team Expectations; supporting The Association’s fundraising, branding, and communications efforts; and fostering relationships with former students, current students, parents, faculty, staff and friends of Texas A&M. Occasional other duties as assigned.

Required Education and Experience

Bachelor’s degree, or equivalent combination of training and experience.
2 years project management experience, including supervisory experience.

Preferred Education and Experience

Bachelor’s degree from Texas A&M University.
5 years project or event management experience.

Required Special Knowledge, Abilities, and Skills

Working knowledge of standard operating equipment, including personal computer.

Ability to operate a keyboard. Frequent use of video display terminal. Minor lifting (up to 25 lbs) for reunion set-up.

Ability to work with diverse population. Effective oral and written communication skills, including public speaking. Ability to organize concurrent projects and manage time. Word processing and computer skills. Frequent evening and weekend work required.

Preferred Special Knowledge, Abilities, and Skills

Knowledge of Adobe PhotoShop. Knowledge of Adobe Illustrator (a plus). Able to set-up HTML emails (a plus).
